Additional Requirements

All spaces at Showcase will include:

1 5-6ft table (1 per group, max)
2 chairs
10'x10' space for a tent

Branded tents can be brought to the event, or we can rent a tent for you (additional costs may apply). Tent rentals are a basic 10'X10' pop-up tent. No walls included.

Internal UBC/SUO partners - please note that you may be required to share a tent with another exhibitor if you would like us to rent one for you. Tent rentals are not guaranteed

Will you need access to power during Showcase?

If yes, you must bring your own outdoor extension cord, and you will have access to 1 plug only. You will not be able to plug in a power bar.

Terms & Conditions

Sales on Campus during Showcase:

I/We understand that selling to students during Showcase is prohibited (this includes memberships, items, subscriptions, accounts, etc). I/we also understand that our organization cannot request students to enter into contracts during the Showcase Fair (e.g. agree to sign up at Showcase, then pay later).

Collection of Information:

I/we understand that collecting contact information for the purpose of promoting to students at a future date is permitted at Showcase; however, collection of any data (name, email address, etc.) must be done with full consent of the student, and all organizations must be transparent with students about how information will be used by the organization. I/we also understand that many students a the Showcase event may not yet be above 18 years of age, which may have implications for data collection.

Use of Organization Name, Weblink, and Logo:

I/we agree to allow the UBC Orientation & Transitions Team (UBC O&T) to use our organization's logo, weblink, and name in order for UBC O&T to fulfil it's deliverables as it relates to the Basic, Non-Profit, or Premium Exhibitor Promotional Packages as described in the 2022 Create Promotional Opportunities Package.

The UBC O&T team will not share, distribute, or otherwise use the organization's logos for any other purpose.

Create Bag Inserts:

I/we understand that all printed/swag materials for Create Swag Bags must be pre-approved prior to submission, and approved materials must be received by UBC O&T no later than August 1st, 2022 in order to be included in the Swag Bags.

Consent to Use of Image:

UBC may occasionally take photos and videos of Orientation/Showcase participants for use in promotional / advertisement materials or publications (brochures, websites, newspaper ads, etc.). By registering for any Orientation promotional opportunities, you agree to allow UBC to reproduce your likeness in such promotional/ advertisement materials and publications. Multiple Exhibitors from the Same Organization:

For the purposes of Showcase or Create Bag Inserts, UBCO will only permit one exhibitor booth per advertised/umbrella organization. (As an example: UBCO will only allow one cell phone provider under a single umbrella brand, even though exhibitors may be from franchised/separately-owned businesses). In the event that there are multiple exhibitors promoting under the same umbrella, we will honour the exhibitor that registers first, OR, the exhibitor that is local (i.e preference will be given to Okanagan-based businesses).
